Planning is a key factor in all relationships with the agency. We are long-range planners for both creative and budgeting. The agency meets with the client to review the marketing plan as related to media and other projects. Then annual budgets are prepared for review.

• An itemized, month-by-month plan is developed for creative and media.
• A yearly spreadsheet is prepared to show costs by month.
• The budget is tracked and reconciled to expenditure.
• Project tracking and accurate billing are ensured through individual job numbers and estimates.

Estimates show internal and external costs. Internal costs are based on tasks and the time required to complete each task. External costs are determined by bids from suppliers and are subject to production coordination charges.Ordinary expenses are billed at cost. These include travel, telephone, postage, copies, etc. For extraordinary costs, written client approval is required. Some projects require billing and payment in advance for services
such as photography.

• The client reviews and approves the estimate in writing.
• No costs incur without an approved estimate. Any revisions require written approval as well.
• All outside expenditures are cross-referenced by job number and purchase order.
